Regular Faculty

What emeritus ranking should apply to a retiring associate professor?

The faculty member should receive the rank of "professor emeritus".

While instructor appointments are normally for a one-year period, can they be renewed?

Yes, an instructor can be renewed twice. However, they are ineligible for a salary increase.

If a faculty member will only be on campus over the summer to perform research, what rank should that faculty member receive?

Since the faculty member will only be here during the summer months, and he/she will be performing research, they should receive an appointment as "adjunct research professor". This is a part-time appointment and will not carry the benefits of a visiting research professor.

Non-Regular Faculty

Do I need to recreate a job every year for a non-regular faculty member, or will the job/pay automatically roll over into the new fiscal year?

Jobs need to be built every fiscal year for all non-regular faculty.

Concurrent

What is the proper rank for a concurrent appointment whose primary appointment is staff?

Staff with a concurrent status in order to teach should be appointed with the rank of "concurrent special professional specialist".

What is the difference between a concurrent appointment and a joint appointment?

A joint appointment is a more serious undertaking than a concurrent appointment. Because the faculty member may be a tenured professor in one department, a joint appointment with another college would confer a permanent appointment in that college, as well as governance rights in that college. Such an appointment requires a memorandum of understanding (MOU) that details how the faculty member will be paid, who is responsible for the annual review if the faculty member is not yet a full professor—who would constitute the full professor committee should he/she be considered for promotion. The college Committee on Appointments and Promotions (CAP) should be consulted and should make a recommendation on the appointment. Because of the permanence of the arrangement, the provost should review and approve the arrangement. The department chair, both deans, the faculty member, and the Provost should sign the MOU.

Emeritus

How should an emeritus faculty who returns to teach a course in their home department be processed?

This requires only a letter from the college indicating the teaching responsibility along with the compensation amount. If a retired faculty member will teach, submit grant proposals, manage research funds, or receive University compensation for scholarly activities, then a letter defining the duties and expectations is necessary. The term of such an agreement normally coincides with the academic calendar.

How should an emeritus faculty who returns to teach a course outside their home department be processed?

The term of such an agreement normally coincides with the academic calendar. Do not add a concurrent appointment.

Visitor

I have a visiting faculty member on a visa, and they are on a different campus to give a speech. Will s/he need the approval to do so?

Yes. The faculty member will need to contact the Office of General Counsel to get the required documentation.

When hiring a visitor and Notre Dame is paying their salary directly to their primary institution, is there an agreement that should be produced?

Yes. You need to contact the Office of General Counsel, and they will put together the correct agreement when paying the primary institution directly. Signatures will be required from the faculty member, the primary institution, and the Office of the Provost. There is also a contract template to use for the appointment letter housed on the Office of the Provost's website.

Can I modify the appointment letter?

If a new faculty member is brought on after the football ticket application deadline, how can they get tickets?

The faculty member needs to have an I-9 on file with Human Resources. They can go to the Human Resources office where they will receive a letter to take over to the Ticket Office. The letter allows the faculty member to purchase available football tickets but does not guarantee season tickets. This is the same in cases where the University is paying their primary institution (no I-9 on file).
