Student Jobs End-of-Year Processing

Author: Office of Student Employment

As the holiday season approaches, please remember to submit or approve your transactions before leaving on vacation to ensure your student employees are paid in a timely manner.

If your students will be working over semester break:

  • Ph.D. students cannot work more than 20 hours per week.
  • International students may be limited to working no more than 20 hours per week. Please check with ISSA for more information.
  • In general, other students could work up to 40 hours per week.

If your student employee will not return in the spring, end the job in Personnel Actions.

  • To end a job in Personnel Actions:
    • Be sure to select the End Job function, not the Change Job function.
    • Do not try to make a change to a job (e.g., change the number of work hours, etc.) and end a job at the same time. If you need to change information about a job, process that change first then later end the job.
    • Detailed instructions and a video on how to end a job in Personnel Actions can be found at https://studentjobs.nd.edu/for-employers/.

If your student is graduating in December and you want to hire them as a temp or staff beginning in the spring, be sure to terminate the student job in a timely manner so that you can later add the new temp or staff job.
