Student Employment Transition to Summer & Important Reminders

Author: Office of Student Employment

On April 3, Student Employment will add an effective end date of May 23 to all academic-year hourly jobs. After we run this process, you may no longer change academic year hourly jobs. If you have a student employee who is graduating and transitioning to a University staff or temp position, please see the information below.

Graduating hourly student employee - transitioning to a staff or temp position

  • Before the end of the day on April 2, add an end date for the hourly job.
  • EXAMPLE: May 16 end date – the student could begin working as a staff or temp as early as May 22.
  • If you do not add an end date, June 5 is the earliest the student could work as a staff or temp.

Graduating stipend student employee - transitioning to a staff or temp position

  • The stipend position already has an end date of May 15. Human Resources could change the person’s employee class on May 15, which would allow you to add the staff or temp job in Personnel Actions with a start date of May 16.

In both cases (hourly and stipend), contact Kandis Hyde in Human Resources and ask her to change the employee class of the student. Also, remind your student to repeat the I-9 process with Human Resources.

Student Jobs - Summer Processing

  • On April 11, you may begin entering summer student jobs in Personnel Actions.
  • Summer campus student employment job opportunities are posted on jobs.nd.edu.
  • Remember that in most cases, students cannot be employed to work while they are abroad. Please contact Student Employment if you have questions.
