Author: Kathleen Brown

Please review the information below to assist in your student employment processing.

  • Save the Date! On January 12, 2026, the online nomination form for the annual National Student Employee of the Year will open. This is a wonderful opportunity to recognize the outstanding contributions and achievements of our Notre Dame student employees. All nominations are due by February 2, 2026. We will send another email with more information once the online form is available.
  • As the holiday season approaches, please remember to submit or approve your transactions before the break to ensure your student employees are paid in a timely manner.
  • Guidance for students working over semester break.
    • Ph.D. students cannot work more than 20 hours per week.
    • International students may be limited to working no more than 20 hours per week. If you have questions, please check with ISSA.
    • In general, other students could work up to 40 hours per week.
  • If your student employee will not return in the spring, end the job in Personnel Actions.
    • Select the “End Job” function, not the “Change Job” function.
    • Do not make a change to a job (e.g., change the number of work hours, etc.) and end a job at the same time. Submit the job change first, then later end the job.
    • Detailed instructions and a video on how to end a job in Personnel Actions are available on the "For Employers" page of our website.
  • If your student will be graduating in December and will be rehired as a staff or temporary employee, please be aware of the following issues.
    • People cannot be employed under two employee classes during the same pay period (e.g., student and staff positions). If you have specific questions about timing for your December graduates transitioning to staff/temporary positions, please contact Student Employment.
  • Please note that student employees who are moving to staff or temporary positions are required to complete a new I-9 through Human Resources.
